GENERAL INFORMATION

The Institute is happening February 12-13, 2025 at the Loews Chicago O'Hare Hotel in Chicago-Rosemont, IL.  

The 2025 ARL President’s Institute is open to the whole library and archives community.

Information on registration fees can be found on the About page.

Institute registration fees include Lunch, afternoon Energizer, and the Sip & Dip Networking Mixer Wednesday evening, and Breakfast and Lunch Thursday.

The format of the President's Institute is an immersive workshop experience designed for in-person participation.

The President's Institute will welcome up to 150 attendees to Chicago. 

Dress comfortably in layers as meeting room temperatures and outdoor weather can vary.

ARL provides meals that accommodate a variety of dietary requirements, vegetarian, vegan, gluten-free, and dairy-free meals are part of standard menu offerings and will be noted on menu cards in meal areas. Additional requirements should be noted and submitted during registration.

ARL strives to host inclusive, accessible events that enable all individuals to engage and participate fully:

  • All Institute materials will be distributed in an accessible format electronically through the event app.
  • Regular wellness and networking breaks are built in throughout the program.
  • The hotel venue is ADA-compliant and accessible rooms are available upon request. Please visit the hotel website for more information about the venue.
  • All-gender restrooms are available at the event venue. 
  • Facilities for nursing parents will be made available at the event venue when requested.
  • All speakers and audience members asking questions are expected to use microphones.
  • Accommodations for dietary needs are available; please indicate your dietary needs on your conference registration.

The LAC conference will operate under the ARL Code of Conduct.

ARL is committed to ensuring event environments that invite all attendees to exercise their personal preference for wearing masks and other preventatives. ARL will provide masks and hand sanitizer throughout event areas. Attendees should not come to event activities if they feel sick or exhibit symptoms of illness.

Payment is required at the time of registration via online credit card payment (American Express, Discover, MasterCard, or Visa). Offline payment options (for ARL Member attendees only), must be requested in writing to events@arl.org.

A 10% Group Discount for three or more attendees from the same institution is available, please reach out to events@arl.org to inquire.

After you register, a link to your settled invoice will be included in your registration confirmation email. If you need another copy, reach out to events@arl.org.

Travelers are responsible to research, understand, and comply with any entry restrictions and/or health and quarantine requirements based upon their country of departure. It is the traveler’s responsibility to be aware of any entry or policy changes prior to traveling to the United States. See the International Travel section of this FAQ for more information.

ARL does not issue documents or letters in connection with visa or immigration matters. 

All reservations and expenses to attend are the responsibility of the attendee. ARL employees, contractors, and partners are not authorized to facilitate or pay for any travel expenses for event registrants.

You can request a substitution by sending an email to events@arl.org with the names of both the original and substitute registrant. All requests for substitutions must be received no later than 5:00 p.m. PST on January 31, 2025.

To cancel your registration, click the "modify or cancel my registration" link in your confirmation email. On the "Additional People" page, click the X beside your name (or the name of the person you wish to cancel). Click "Continue" until you reach the confirmation stage.

Cancellations must be made in writing to events@arl.org. A full refund minus a $50 administrative fee is available through December 16, 2024.  December 17—January 10, 2025 a full refund minus a $100 administrative fee. After January 10, 2025, no refunds will be issued. Substitutions are welcome through January 31, 2025. 

If you need to make a change to your registration, a link is provided in your registration email, changes are accepted until January 20, 2025. If you need additional assistance or cannot locate your confirmation, please email events@arl.org.

HOTEL INFORMATION

You must be a registered attendee of the President's Institute to reserve your room in the event block at the Loews Chicago O'Hare Hotel.  

The guest room booking link for the institute hotel block is provided in the registration confirmation. 

To modify an existing hotel reservation, changes are accepted until the link is closed (because it is sold out or until January 10, 2025). 

Please review hotel details here. The guest room block and rate are valid 2/11/25—2/13/25. Additional nights are at the discretion of the hotel's availability and the guest room rate and room type options may vary. 

The ARL room rate will be offered based on hotel availability until January 10, 2025. 

No. To take advantage of the discounted room rate that ARL has secured, an attendee must have a paid registration for the conference.

Yes. You must enter a credit card during the reservation process to make any hotel reservations within the ARL housing block and to check-in onsite at the hotel.

Yes. However, if the credit card used as a guarantee for the hotel reservation is not in your name, the cardholder must be present at check-in, or you must set up an advance credit card authorization with the hotel prior to arrival.
 

Although the hotel will do their best to accommodate all special requests, the fulfillment of these requests is based on availability at check-in and is not guaranteed. If your request is an accessible guest room accommodation, please contact us at events@arl.org for support.

 Self-parking is available for US$44 per day. 

  • Guest rooms must have one registered guest at least 18 years of age.
  • Nightly room rates do not include taxes.
  • Occupancy rates per guest room beyond single/double occupancy may apply.
  • All reservations and expenses are the responsibility of the attendee.
