The Association of Research Libraries (ARL) is launching the IMPACT: Research Library Summit in 2028—a groundbreaking new conference experience. We are looking for trailblazers from the Canadian and US library and archive communities to join the inaugural planning team. Shape the conversation, help craft and deliver the experience, and leave a lasting mark on our field.

The IMPACT Summit will be rich with peer-reviewed and invited content, and networking experiences for research library deans and directors, senior leaders and staff, information researchers, and other key partners. 
 

The summit is July 31–August 3, 2028 in Seattle, Washington.
The term for summit planning teams is approximately two years, October 2026–September 2028.

Planning Teams Scope

Planning Teams in their respective areas are collectively responsible for:

  • Advising ARL staff on event programming, experience, and delivery.
  • Assisting ARL staff with event programming and delivery.
  • Promoting the summit to encourage interest and registration.
  • Attending the summit (Should other arrangements be needed, this should be noted in the expression-of-interest submission.).

Planning Team Commitments

  • Planning teams will meet regularly every 4-6 weeks via video conferencing platforms; occasional additional meetings are expected leading up to the summit, as well as afterwards, including All Hands Planning Team meetings. Each team description provides further detail about its respective cadence of work. 
     
  • Asynchronous work is anticipated; the time required will be based on the needs of the respective planning teams. Some teams will complete most of their work before the summit operates, and some will do most of their work at the live event.

Overview
Creative brainpower needed! Help map out the ultimate attendee journey through the development of the content-planning process for concurrent sessions at IMPACT. We’ve heard over and over that the research library community wants to engage with evidence-based and actionable work. Let’s make sure IMPACT 2028 delivers. Your mission is to orchestrate program frameworks and formats that will engage attendees—let’s showcase what it looks like when a conference is both maximally inclusive and rigorously designed.

What You’ll Do

  • Experience Designer: Inform the development of the call for proposals and a review process that is rigorous, generous, and inclusive.
  • Trendspotter: Scout other settings for topics and session formats that could be adapted for the Summit.
  • Architect of the Vibe: Help develop the focus of a program track that will resonate with the research library audience.
  • Champion of Professional Advancement: Ensure that IMPACT meets the career needs of the research library community.

The Commitment

  • Each Program Track Team will include 3–5 members. One member from each track team will serve on the overall Program Team.

  • The term is approximately two years, October 2026–September 2028. The Program Team’s work is primarily finished when the Call for Proposals is completed in the fall of 2027.

  • The estimated time commitment is 2-3 hours per month. The time required will be based on the needs and schedule of the event overall.

  • IMPACT planning teams generally meet monthly in a virtual format and complete work asynchronously in between meetings. 

  • Planning Team members are encouraged to attend the summit (Should other arrangements be needed, this should be noted in your expression-of-interest submission.)  

  • Members of this team will receive a registration fee discount. They are not expected to have significant responsibilities onsite during the summit.

  • Accommodations and travel expenses to and from the conference are an individual expense. 

Overview
Do you currently reside in the Seattle area and know the city inside and out? Can you share local insights, as well as experience navigating the downtown Seattle area? Energetic, creative thinkers who like to organize, and create a space of care and hospitality, are needed to serve on the IMPACT Local City Team to help support our planning efforts, provide local connections, guidance, and logistics support. Help us showcase the Emerald City by shaping the ultimate local experience for hundreds of out-of-town attendees and ensure a best-in-class experience at the summit. 

What You’ll Do

  • Local Culture Curator: You’ll help curate all the recommendations, including top dining, museums and galleries, entertainment, and nightlife spots for after-hours networking.
  • Transit & Navigation Expert: As a local, advise on regional transit logistics, including Light Rail connections, ferry schedules, and rideshare hubs around the hotel.
  • Form Local Partnerships: Help support coordination with local businesses and vendors to secure exclusive attendee discounts or partnerships and ideas to bring local, unique Pacific Northwest experiences to IMPACT attendees.
  • Build Neighborhood Guides: Help design neighborhood maps, develop highlights of what the city has to offer in the lead-up communications to the summit, and contribute to "know before you go" resources for attendees.
  • Welcome Guide: Onsite at the event, the Local City Team will support the information and hospitality efforts and serve as an extension of the Production Team for onsite logistics support. 

What You’ll Bring

  • 3+ years living in the Seattle, WA area.
  • Commitment to advancing research libraries and helping provide local information to enhance the IMPACT Summit attendee experience.
  • Expertise of the city that will help shape the attendee experience and provide attendees with navigation support to discover hidden gems, and feel at home.
  • Passion for community engagement and a deep love for Seattle's unique culture and ideas to showcase it.

The Commitment

  • The Local City Team will include 2–3 members.
  • The term is 23 months, approximately October 2026–September 2028. 
  • The estimated time commitment is 2-3 hours per month, and is estimated to increase in 2028 to 3-5 hours per month. The time required will be based on the needs of the event overall and local insights for coordination.
  • IMPACT planning teams generally meet monthly in a virtual format and complete work asynchronously in between. 
  • Planning Team members are expected to attend the summit (Should other arrangements be needed, this should be noted in your expression-of-interest submission.)  
  • The registration fee for the IMPACT Summit is waived for active Planning Team members. 
  • Members of this team are expected to support the onsite execution of the event based on the team’s work needs and the conference overall. Accommodations will be provided at the event hotel and the arrival and departure days will be determined based on the needs of the planning team and the event overall. Travel expenses to and from the conference are an individual expense. 
  • ARL will endeavor to design a volunteer schedule that allows for discretionary time for those who desire to attend some specific components of the IMPACT Summit.

Overview
You know the difference between a well-run event or conference and one that misses the mark, and you love the thrill of live events and want to help create the secret sauce that transforms an event to an experience. Join the logistics powerhouse behind the IMPACT Summit! We are seeking energetic, detail-loving, flexible professionals to roll up their sleeves and help orchestrate a seamless, best-in-class attendee experience at IMPACT.

What You’ll Do

  • Behind-the-Scenes Champion: You take pride in helping execute flawless operations that keep everything running smoothly and will help execute the 500 details that create an impactful professional experience. 
  • Onsite Attendee Check-In & Attendee Flow: Support for the information center at the event and help ensure an efficient and smooth check-in experience for attendees.
  • Attendee Experience & Hospitality: Now more than ever, gathering in spaces of community is critical and Production will ensure the logistical framework to provide a welcoming, inclusive, and intentional space for learning and connection.
  • Production Scope: Participate in the set-up, running, and strike of: registration, information center, social events and experiences, event decor and signage, breakout session room learning materials and support, sensory and quiet spaces, and more.
  • Get Physical: This team has physical demands and may require long periods of standing, walking, lifting and picking up/packing boxes and supplies, pushing and pulling carts, preparing display tables, activities and decor, assisting attendees with wayfinding, and moving around multiple floors of the event hotel and supporting offsite experiences.

What You’ll Bring

  • Experience working in operations-focused roles and projects, background working on events or conference logistics a plus. 
  • Interest in engaging and talking with attendees at check-in, around the event spaces, wayfinding, or offering support with information. 
  • Creative and crafty skills and interests are not required, but are welcome as Production will implement decor and activities that may include assembling, printing, and preparing decor and materials.
  • Ideas and brainstorming around participant experience, community of care, and sensory considerations to contribute to the summit design. 
  • Flexibility to roll with the punches onsite and jump in as needed—this team works hard and plays hard making magic for attendees. 

The Commitment

  • The Production Team will include 20–25 members.
  • The term is 23 months, approximately October 2026–September 2028. This team's work is primarily onsite during the summit. 
  • The estimated time commitment is 1-2 hours per month, and primarily onsite during the event. The time required will be based on the needs of the event overall.
  • IMPACT planning teams generally meet monthly in a virtual format and complete work asynchronously in between. The Production Team will meet less often initially and will begin monthly meetings in the second half of 2027.
  • Planning Team members are expected to attend the summit (Should other arrangements be needed, this should be noted in your expression-of-interest submission.)  
  • The registration fee for the IMPACT Summit is waived for active planning team members. 
  • Members of this team are expected to support the onsite execution of the event based on the team’s work needs and the conference overall. Accommodations will be provided at the event hotel and the arrival and departure days will be determined based on the needs of the planning team and the event overall. Travel expenses to and from the conference are an individual expense. 
  • This team is primarily an onsite commitment. ARL will endeavor to design a volunteer schedule that allows some discretionary time for those who desire to attend specific components of the IMPACT Summit. 

Overview
Do you love a schedule? Have you coordinated teams of volunteers in a library or for a special event? You will be the backbone of our event execution, working to ensure our volunteer team is equipped, motivated, and deployed effectively across the venue to assist attendees. The IMPACT Summit invites organized, enthusiastic, and reliable individuals who would like to support our onsite volunteer operations. If you enjoy working with fast-paced event logistics and motivating people, this team is for you!

What You’ll Do

  • Build the Blueprint: Coordinate labor and resources with event scheduling needs and participate in delivering a virtual orientation session.
  • Champion Our Volunteers: In partnership with staff, help coordinate the tasks and volunteers to accomplish them during the conference, to lead and support our team of onsite volunteers during event week.
  • Direct the Energy: Check in volunteers, distribute assignments (attendee check-in, session rooms support, wayfinding, decor and setup), and manage meal breaks.
  • Resolve the Queries: Serve as the main point of contact for staff when extra volunteer support is needed and assist with solving real-time logistics challenges to keep the conference running smoothly.

What You’ll Bring

  • Experience scheduling and organizing volunteers in an event or library setting; volunteer management, or hospitality.
  • Exceptional leadership skills with the ability to give clear, calm directions in a busy environment and ensure they are completed.
  • Familiarity with scheduling software and standard spreadsheet tools.
  • Ability to stand/walk for extended periods, and remain positive under pressure. 
  • Strong communication skills and attention to detail to ensure a seamless event experience.

The Commitment

  • The Onsite Volunteer Coordination Team will include 2–3 members.
  • The term is approximately two years, October 2026–September 2028. This team's work is primarily onsite during the summit. This role begins with light pre-event planning and shifts to full-time, high-energy management the 2-3 weeks prior to and during the week of the summit.
  • The estimated time commitment is 1–2 hours per month, may increase to 3-5 hours per week the month leading into the summit, and primarily onsite during the event. The time required will be based on the needs of the event overall.
  • IMPACT planning teams generally meet monthly in a virtual format and complete work asynchronously in between. The Onsite Volunteer Coordination Team will meet less often initially and will begin monthly meetings in the last quarter of 2027.
  • Planning Team members are expected to attend the summit (Should other arrangements be needed, this should be noted in your expression-of-interest submission.)  
  • The registration fee for the IMPACT Summit is waived for active planning team members. 
  • Members of this team are expected to support the onsite execution of the event based on the team’s work needs and the conference overall. Accommodations will be provided at the event hotel and the arrival and departure days will be determined based on the needs of the planning team and the event overall. Travel expenses to and from the conference are an individual expense. 
  • This team is primarily an onsite commitment. ARL will endeavor to design a volunteer schedule that allows some discretionary time for those who desire to attend specific components of the IMPACT Summit. 

Overview
Can you spot a flawed methodology from a mile away? Have you participated in a poster session experience at other conferences? You know how to filter out the fluff, spot the breakthroughs, and crown the ultimate poster champions. We’re seeking analytical minds and trend-spotters to join the IMPACT Poster Session Team. If you enjoy evaluating research, identifying promising innovations, and celebrating impactful work, this role is a great fit. 

What You’ll Do

  • Set the Stage for Discovery: Contribute to the creation of the call for abstracts, design the experience with the overall conference themes, content and goals in mind, manage the peer-review process, and select high-quality submissions.
  • Design the Experience: Organize posters by theme, schedule sessions, and manage the physical space, poster placement, and digital accessibility.
  • Host the Space: Brief moderators, ensure presenters are available during Q&A blocks, and troubleshoot display issues.
  • Architect the Evaluation & Honors: Determine and design an assessment and awards experience to complement the poster session strategy.

What You’ll Bring

  • Experience reviewing or writing research papers, case studies, or project proposals; participation in a poster session experience as a presenter.
  • A background or experience in visual communication.
  • Ability to commit to the timeline during the creation and review period for the poster program as well as support the onsite logistics for the sessions.
  • Commitment to advancing research libraries through creation of a poster experience that will enhance the IMPACT Summit.

The Commitment

  • The term is approximately two years, October 2026–September 2028. 
  • The estimated time commitment is 1–2 hours per month, and onsite during the event. The time required will be based on the needs and schedule of the event overall.

  • Planning Team members are expected to attend the summit (Should other arrangements be needed, this should be noted in your expression-of-interest submission.)

Accommodations will be provided at the event hotel and the arrival and departure days will be determined based on the needs of the planning team and the event overall.   • This team is primarily an onsite commitment. ARL will endeavor to design a volunteer schedule that allows some discretionary time for those who desire to attend specific components of the IMPACT Summit. 

Overview
Are you the person taking photos of slides at a conference so you can cite them later? Does building a stronger, more dynamic evidence base of library research and practice sound like your dream project? Publishing visionaries, career development pros, and detail-obsessed heroes are needed to join the IMPACT Proceedings Team.

What You’ll Do

  • Founding Thought Partner: Provide input on the format, workflow, policies, and technical infrastructure of the proceedings to be published from the inaugural summit. 
  • Strategic Advisor: Inform whether and, if so, how ARL should seek a library publishing partner for the proceedings.
  • Rigor Champion: Map the submission and review process developed by the Program Team onto the editorial process for the proceedings.

What You’ll Bring

  • Experience editing or serving as the publisher of conference proceedings or other professional publications.
  • Knowledge of tenure and promotion expectations for librarians with faculty status.
  • Interest in exploring forward-looking publishing practices, including open peer review.
  • Pragmatism about thinking through tradeoffs between production quality and resourcing/capacity.

The Commitment

  • The Proceedings Team will include 2–3 members. 

  • The term is approximately two years, October 2026–September 2028. The Proceedings Team’s work is primarily completed when the Call for Proposals is completed in the fall of 2027.

  • The estimated time commitment is 1–2 hours per month. 

  • IMPACT planning teams generally meet monthly in a virtual format and complete work asynchronously in between.
